Operations Administrator

Heads Up Outdoor Services is looking for a highly organized Operations Administrator to serve as the communication and coordination link between our clients, field team, projects, marketing, and owner. This is a remote independent-contractor role for approximately 20 hours per week. The position reports directly to the owner and is structured as a month-to-month contract with weekly payment.

What you’ll do

  • Manage client accounts and handle inbound and outbound communication by phone, text, email, and social media.
  • Track customer requests, follow-ups, schedule changes, commitments, and unresolved issues.
  • Coordinate field-team schedules, job details, customer expectations, project updates, and open action items.
  • Support project-management activities and escalate decisions requiring owner approval.
  • Create and activate a practical social-media strategy across LinkedIn, Instagram, Facebook, YouTube, TikTok, blogs, and other relevant platforms.
  • Plan, create, schedule, publish, and maintain content using field photos, videos, completed projects, reviews, service information, promotions, and seasonal campaigns.
  • Edit, manage, and maintain website content, including services, project examples, careers information, calls to action, and blog posts.
  • Provide the owner with a concise weekly summary of client issues, follow-ups, field coordination, content, website changes, and decisions needed.

What we’re looking for

  • Strong professional writing, phone communication, organization, and follow-through.
  • Experience with client account management, CRM, scheduling, or project-tracking systems.
  • Working knowledge of social-media publishing and content planning.
  • Sound judgment, initiative, and the ability to know when to escalate an issue.
  • A reliable remote-work setup and availability during agreed business-hour coverage.
  • Field-service, landscaping, or home-service experience is helpful but not required.

This role does not require around-the-clock availability. Routine work will be completed independently within an owner-approved plan, while major customer, operational, or website decisions will be escalated.
